HR core functionalities

Particularly in personnel time management and payroll accounting, adjustments are often necessary. Sometimes the legal basis changes, sometimes there are new collective bargaining regulations or company agreements.

Thus, the regular revision of schemes and rules has long been an unloved routine in HR departments. In addition, there are changes, such as in the Covid 19 crisis, which have to be implemented immediately. It is in the nature of things that even the smallest mistakes can cause major damage. The HR department of Thyssenkrupp-Rasselstein relies on a solution from SAP partner FIS to reduce the adjustment effort, minimize the susceptibility to errors and ensure complete audit-proof documentation.

New standard for HCM

The administration and management of employees are demanding and dynamic tasks for an HR department and a daily challenge. In addition, HR IT managers must also implement externally motivated requirements, such as changes in the calculation of taxes or social security contributions, reliably and without errors. In addition, there are internal company requirements, for example, from company agreements or restructuring. The Human Resources Department of thyssenkrupp-Rasselstein has opted for SAP HCM to make the work of HR and IT managers more efficient and to make adjustments and further developments in payroll transparent and traceable.

The company, headquartered in Andernach, is the only German tinplate manufacturer. At the world's largest production site for packaging steel, Rasselstein manufactures tin-plated tinplate, ultra-thin tinplate and special chromium-plated tinplate, with thicknesses ranging from 0.100 to 0.499 mm. The company employs around 2,500 people and serves 400 customers in more than 80 countries, making it one of the three largest tinplate suppliers in Europe.

The HCM tool Schema and Rules Analyzer (SRA) provides the thyssenkrupp Steel subsidiary with a new solution standard for working with schemas and rules in the HCM system that control the processes for payroll and time management. The range of functions, which includes a comparison and matching function and also enables documentation - especially of reasons for changes - in the system, goes beyond the SAP standard. In addition, the software can be customized through customer-specific settings.

The most important goal was to significantly reduce the effort for necessary adjustments in the HCM system. The FIS-SRA solution used makes this possible in an uncomplicated manner by means of precisely fitting functions. When importing support packages, the comparison function makes it easier to identify passages that contain necessary adjustments for the company's own HCM system.

Master complexity

The basic processes for creating an SAP payroll are defined by a payroll schema. In order to make these processes traceable over time in the event of changes, the SAP standard does not offer adequate support in the form of version management. SRA fills this gap and offers the possibility to create versions and compare them with each other. After all, despite all the care taken, errors can creep in during the adaptation of complex payroll systems. The far-reaching possibilities for versioning and a fast and efficient error analysis were therefore another important reason for choosing this add-on. With the comparison function of FIS-SRA, discrepancies can be found and corrected quickly and reliably. All changes are documented and comparisons can be made between versions or across systems. Rasselstein significantly increases the security of billing with the help of the tool. This means that the billing process can be reliably designed and further optimized at any time, even in the face of high complexity.

Audit security and documentation in the HCM system

In many companies, the documentation of adjustments in IT work processes is still done outside the SAP system. This means that employees have to document each work step in other programs, such as Excel, Word or even in paper form, in order to make their work traceable. This procedure is time-consuming, error-prone and confusing. At thyssenkrupp-Rasselstein, complete documentation takes place automatically and directly at the corresponding object in SAP-
system. "The documentation in the system not only ensures audit compliance. The procedure also facilitates the onboarding of new colleagues, who can familiarize themselves with the system much more quickly thanks to the clear and uniform presentation," confirms Heiko Michels, HCM module supervisor/ERP Applications SE-PS/ITM-E at thyssenkrupp-Rasselstein.

Another argument for the use of FIS products is the simple and fast implementation. The instruction of the employees takes place quasi
on the job in a one to two-day workshop, the results of which can be used productively immediately. "An important decision criterion was also the topic of support," says Heiko Michels. "Here, we have had excellent experience with FIS, as the support is always prompt, competent, personal and unbureaucratic."
